Terms and Conditions for DigiLog

Welcome to DigiLog. These Terms and Conditions outline the rules, obligations, and guidelines for using our mobile and web applications designed to digitize the Industrial Training Fund (ITF) Student Industrial Work Experience Scheme (SIWES).

By accessing or using the DigiLog platform, you agree to comply with these terms. If you do not agree with any part of these terms, you must not use the system.

1. Account Creation and Security

  • Authorized Access: Access to DigiLog is strictly limited to verified students, industry-based supervisors, institutional coordinators, and ITF administrators.
  • Authentication: You must log in using your official institutional email and system-generated password, or via approved Single Sign-On (SSO) providers like Google and Microsoft. For supported devices, fingerprint and facial recognition sign-on may be utilized for enhanced security.
  • Account Responsibility: You are entirely responsible for maintaining the confidentiality of your login credentials and electronic signature. Any activity conducted under your account will be legally attributed to you.

2. Platform Rules and Functional Constraints

To ensure administrative efficiency and prevent system abuse, DigiLog enforces strict functional limits embedded within the platform's logic:

  • SCAF Form Submission: Students are permitted a maximum of three (3) trials to correctly fill and submit the Student Confirmation Acceptance Form (SCAF). Exhausting these trials will lock the form and require administrative intervention.
  • Change of Placement: Applications for a change of placement are strictly limited to two (2) instances per the entire 24-week internship duration.
  • SIWES Report Submission: Upon completing the internship, students must submit their final SIWES Report within a strict 60-day window.
  • Financial Details Modification: Students may edit their submitted Bank Account Number and Bank Name; however, this action is heavily restricted and can only be performed during the active period of the internship.

3. User Responsibilities

For Students:

  • You are required to accurately document your daily activities in the digital logbook.
  • You must utilize the offline usage capability appropriately, ensuring you sync your locally saved data once internet connectivity is restored.
  • You are responsible for monitoring your notifications (Email, SMS, and WhatsApp) regarding submission deadlines and supervisor feedback.

For Supervisors (Industry and Institution):

  • You agree to receive logbooks via email links and promptly grade and comment on student submissions on a weekly basis.
  • You must only use the platform to assess students directly assigned to your supervision, maintaining the integrity of the grading process.
  • You are responsible for securely utilizing the platform to sign off on statutory documents (Form 8) and final SIWES reports.

4. Payment Disbursements

DigiLog provides a secure interface designed to facilitate easier payment disbursements. However, the actual release of stipends is entirely dependent on the verified completion of your logbook, the approval of your final report by all assigned supervisors, and the final authorization by the ITF. DigiLog is an administrative facilitator and does not directly hold or guarantee the funds.

5. System Availability and Performance

  • Uptime: We strive to maintain a 99.9% uptime for core functions like login and logbook submission, excluding scheduled maintenance.
  • Offline Functionality: The mobile application is built to support offline usage in environments with poor internet access. However, users remain responsible for eventually connecting to a network to sync their data with our central servers.

6. Termination and Account Restriction

We reserve the right to suspend or permanently terminate your access to DigiLog if you violate these Terms and Conditions. Grounds for termination include, but are not limited to:

  • Falsifying logbook entries or biometric check-ins.
  • Attempting to bypass the 3-trial SCAF limit or the 60-day reporting window through unauthorized technical exploits.
  • Sharing your digital signature or login credentials with a third party.

7. Changes to the Terms

DigiLog reserves the right to modify these Terms and Conditions at any time. Significant changes will be communicated via the platform's notification gateways (Email or SMS). Continued use of the platform after such modifications constitutes your acceptance of the revised terms.
